Group Leader Information

One member of your school’s delegation should be designated as your “group leader.” Group leaders will be asked to ensure that the whole delegation is apprised of key information and will be Lab’s main point of contact for your school leading up to and during the Conference. 

School Delegations: Each school is invited to send a delegation of seven: two administrators (we suggest your Head of School or Principal and a director of DEI, dean of faculty, or curriculum director), two teachers, and three students (juniors or seniors only). 

• If you wish to send additional people from your school, please email FXP@ucls.uchicago.edu, and we will be happy to accommodate you if space permits.

Chaperones: At least two adults in your school’s delegation must consent to be  chaperones. We encourage you to designate additional chaperones in case of illness and to distribute responsibilities in your group equitably. Chaperones will be asked to agree to certain responsibilities, including:

• Attend a mandatory onsite information session on the first day of the conference.
• Understand and manage your students’ schedules.
• At certain times (especially in the evenings), directly supervise your students. 
• Be accessible to your students at all times. 
• Chaperones will be asked to agree to their responsibilities by signing an agreement that will be distributed to your school’s group leader before August 1.

Student behavioral expectations: The juniors and seniors traveling with your school will be expected to adhere to certain behavioral norms.

• Students will be asked to agree to these expectations by signing an agreement that will be distributed to your school’s group leader before August 1.

Family agreement. The parents/guardians of participating students must agree to their participation by signing an agreement that will be distributed to your school’s group leader before August 1.

School responsibilities and agreements. Lab is pleased to provide accommodations for each school delegation up until our conference reaches capacity. Your school is responsible for making and paying for all travel arrangements.

An authorized representative of your school will be asked to sign an agreement that will be distributed to your school’s group leader before August 1.
